SMART Need for Applicant Tracking

At my company, it is annual performance review time. As I was writing up my SMART* explanation, it got me thinking about the applicant tracking buying process. Is your buying process SMART? Meaning, is it specific, measurable, attainable, realistic, and timely?

To save time and extra running around, the applicant tracking buying process should be:

  • Specific, in that it answers:
    • Who is involved?
    • What do I want to accomplish?
    • Which constraints or requirements are present?
    • Why do I want to do this? Is it to cut costs, deliver a benefit, or correct a current process?
  • Measurable. Answer:
    • How much will it save?
    • How will I know if I’ve made a good decision?
    • How will it be better than what we are currently doing?
  • Attainable
  • Realistic
  • Timely

* SMART is from a paper by George T. Doran called There’s a S.M.A.R.T. way to write management’s goals and objectives which appeared in the November 1981 issue of Management Review.

Feature Based Applicant Tracking Buying

One of our sales representatives is from the Detroit area and he regularly compares the applicant tracking buying process to that of a car. He contends that before you go into the dealership, you need to be prepared and have an idea of what you are looking for. Sports car, mini van, or SUV. Ferrari or Ford. Leather or cloth. The options go on and on.

Case in point, according to Software Advice, 44 percent of all potential HR software buyers cited missing functionality as a reason for replacing their current system.

In the sales process, it is easy to miss out on the fact that there is only one set of cup holders or that heated seats are in another package. Before you sign the dotted line, prioritize the features you are looking for in an applicant tracking system and rank them against vendors.

5 Questions for Applicant Tracking Contracts

Applicant tracking contracts can be overwhelming and down right confusing. Before you sign on the dotted line, ask these 5 questions to make sure you’re getting and paying for what you think you are.

5 Questions to Ask Before Signing an Applicant Tracking Contract

  1. What is included? Request a line-itemed contract so that you know exactly what you are getting and what you are paying for each piece. Ask for all charges related to:
    • Implementation
    • Configurations, customizations, and integrations
    • Consulting and training
    • License fees
    • Storage and maintenance
    • Misc./other
  2. Why would the pricing change?  What happens if I need another user, more storage, etc.
  3. When is payment due? Find out how often you will be making payments and for how long. Specifically, ask about:
    • Payment frequency
    • Contract length
    • Method of payment
    • Penalties for breach of contract
  4. What is the applicant tracking vendor committing to? What is the penalty if they don’t deliver on it?
  5. How can I get a discount?

Be prepared to receive quotes on all ends of the spectrum.  Ask the vendor for firm quotes with detailed descriptions of the product and services offered.  For pricing on the myStaffingPro applicant tracking system, please request a quote.
