I can’t believe that this is our 5th year at the Microsoft Convergence trade show.  Time has really flown by.  It’s crazy to think that we started out as the newbie on the block, and we are now an ISV that has a robust Microsoft Dynamics® integration for recruiting and applicant tracking.  The two-way integration is the most robust recruiting option available for Microsoft Dynamics customers.  Case in point, the myStaffingPro Microsoft Dynamics integration includes:

5 Questions for Applicant Tracking Contracts

Applicant tracking contracts can be overwhelming and down right confusing. Before you sign on the dotted line, ask these 5 questions to make sure you’re getting and paying for what you think you are.

5 Questions to Ask Before Signing an Applicant Tracking Contract

  1. What is included? Request a line-itemed contract so that you know exactly what you are getting and what you are paying for each piece. Ask for all charges related to:
    • Implementation
    • Configurations, customizations, and integrations
    • Consulting and training
    • License fees
    • Storage and maintenance
    • Misc./other
  2. Why would the pricing change?  What happens if I need another user, more storage, etc.
  3. When is payment due? Find out how often you will be making payments and for how long. Specifically, ask about:
    • Payment frequency
    • Contract length
    • Method of payment
    • Penalties for breach of contract
  4. What is the applicant tracking vendor committing to? What is the penalty if they don’t deliver on it?
  5. How can I get a discount?

Be prepared to receive quotes on all ends of the spectrum.  Ask the vendor for firm quotes with detailed descriptions of the product and services offered.  For pricing on the myStaffingPro applicant tracking system, please request a quote.

5 Tips to Avoid Smoke and Mirrors

5 Tips to Avoid Buying Applicant Tracking Software that is all “Smoke and Mirrors”:

1) Check the vendor’s career section to see if they use their own applicant tracking software.  I was amazed at how many ATS had email addresses for resume submittal.

2) If they tout social media in recruiting, do they even have a presence on those sites?

3) Check their customers’ website to see if their career section is still powered by the ATS.  The big fancy fortune 100 company they advertise as a customer may not be using the applicant tracking software that you are considering; instead, they might be a performance management customer.  Or, they may have left the vendor completely for greener pastures.

4) Don’t buy it before you try it.

5) Look at the contract with a fine toothed comb.  Dig into it to make sure that it lists exactly what the system does; including a definition of the configuration that you purchased.

Implementation Frustrations

I can now fully understand your implementation frustrations. As the Director of Marketing, I’m trying to implement software to assist with our website.   Given my experience, I thought that I could handle implementing this software no problem.  (I mean, we implement hundreds of myStaffingPro applicant tracking clients a year, and they get along just fine.  In addition, I tackled our CRM.  How different can it be?)  However, one pitiful implementation later, and I’m PRAISING our client services team for their hands on approach with our clients.  Below, I’ve outlined what we offer our customers at myStaffingPro versus my experience with this new marketing website software.

(My Experience)
Introduction Joint call with the salesperson, dedicated client services manager, and the administrative user(s)
 Login to a “resource” platform with a long checklist of items that I need to complete on my own before they “check in” on me in a month.
Implementation 4+ hours INDIVIDUAL administrative training with step-by-step assistance on configuring the applicant tracking system. (There is still some homework, but at least you know what you’re doing before it is assigned) Self-guided with assistance from the help database.
Training 2+ hours of user training where you can invite as many individuals as you’d like to attend the training session for YOUR COMPANY on YOUR configuration. Weekly group training sessions are provided when it is convenient to them. Because it is a group setting, they do not accept questions, and it is not specific to your process.  Also, it is presented in PowerPoint.
Point of
Contact		 1 salesperson, 1 client services manager.
 Multiple contacts at various email addresses. Whom am I supposed to reach out to??? Who is this new person you just threw into the mix? What is happening!!!

Templates and best practices guides

 The system is completely blank. Using the help database as a guide, I can haphazardly add, delete, and start over to my heart’s content. After the 3rd time, I’m not amused. When the system is slow and doesn’t reflect my changes, I’m even less so.

My advice would be to go with the software that offers support. Sometimes a helping hand is exactly what you need, and when it is not available, disaster strikes.

Top 5 “Must Haves” for your Applicant Tracking System

Selecting the applicant tracking solution that best addresses your needs in the most intuitive way should not be a “dreaded” task! How to begin is sometimes the challenge. As someone who has been selling applicant tracking solutions for over 12 years, I can tell you that when you are armed with your list of requirements and budgetary constraints, you make my job much easier! From the “salesperson” perspective, it is always such a pleasure to be able to present my solution in the best light possible. I can only do that when I understand the prospects’ pain points and end goals.

Over the past 12 years my prospects have expressed these “must haves” time and time again.

  • System administrator configuration options MUST be flexible and easy to align with my company process.
  • Storing data is great, but I MUST have a system that DRIVES my process with triggered actions based on defined workflows.
  • Manager interaction is important, but the interface MUST be easy for a minimally trained manager to use, and MUST sequentially assist in driving the process as defined.
  • Candidates MUST have a friendly online process that is relevant for them and allows them to update their own information and check on their own status.
  • The solution MUST be integration-friendly to enable the easy movement of data to my other HR systems.

Not so difficult, really. Be sure to throw in that you MUST have a dedicated resource who is an employee of the company providing you with your training and support.

What’s Your Buying Experience?

I recently wanted to get my nails done.  My choices in our mid-sized city are:

  • Fancy salon with soothing music
  • Elbow-to-elbow cheap and minimal experience in the mall
  • New no name place

What did I choose? 

I asked around to see if anyone had been to the “new no name place”.  No one had, and we couldn’t find any information about it online.  – FAIL

I called the elbow-to-elbow cheap and minimal experience in the mall and they don’t take appointments.  I would have to drive across town and take my chances that I wouldn’t have to sit there forever in a fog of artificial nail fumes. – FAIL

I called the fancy salon and they could not squeeze me in. – FAIL

1…2…3… CHEESE!!! (click!) We all know what this means, it’s time to take that photo! I know some of us out there don’t necessarily enjoy having our picture taken, but how much would you enjoy it if your picture could win you some big cash?

Starting June 1st, myStaffingPro is hosting the myImage Contest. The myImage Contest allows contestants to post a picture of themselves using myStaffingPro applicant tracking system on the web. Contestants can submit entries by posting their image to social media sites or by emailing them to “marketing (at) mystaffingpro.com”. Contestants will be entered into the drawing for every picture submitted. Those that post their entries on social media sites will be entered twice into the drawing.
